This Privacy Policy describes the practices of LJD Law Professional Corporation ("LJD Law", "us" or "we") concerning the collection, use, processing, storage and disclosure of information through our website, client intake and document-sharing systems, email and communications platforms, practice-management and workflow systems, artificial intelligence tools, and other technologies used in delivering legal services and operating our business.
In this Privacy Policy, "Client Information" includes personal information, confidential information, information protected by solicitor-client privilege, and other information relating to prospective, current or former clients and their matters. "Personal Information" means information about an identifiable individual or information that could reasonably be used to identify or contact an individual.
This Privacy Policy should be read together with any engagement letter, general terms, consent, notice or other agreement applicable to our relationship with you. If additional or more protective terms apply to a client matter, those terms will also govern.
No Lawyer-Client Relationship
Subject to an Engagement Letter, please note that LJD Law enters into solicitor-client relationships with its clients only pursuant to certain policies and procedures unrelated to the Site, including the execution of an engagement letter, a screen for conflicts of interest, and other LJD Law policies or rules of the Law Society of Ontario. You agree that your access and use of the Sites, including the submission of information to us through the Sites, does not create a lawyer-client relationship between you and LJD Law.

Applicability of this Privacy Policy
This Privacy Policy applies to information collected, received, created, used or processed by LJD Law through its website, client intake processes, Box, Asana, Google Workspace and other approved systems used to communicate with prospective clients, clients, service providers and other persons, administer client matters, deliver legal services and operate the firm.
Third-party websites, services or applications may have their own privacy practices. When LJD Law selects and uses a service provider in connection with legal services or firm operations, we assess the service in light of the nature and sensitivity of the information involved, the purposes for which it will be used and the provider's applicable privacy, confidentiality and security protections.
Clients who have formally retained LJD Law may also be subject to an engagement letter, general terms and additional privacy, confidentiality, technology or data-security provisions. Clients may contact their LJD Law lawyer or info@ljd-law.ca with questions about the terms applicable to their matter.
How We Collect and Use Information
LJD Law collects the following categories of information from you through the Sites, primarily through our intake system powered by Asana, and our document sharing platform, Box.
Client Information and Personal Information. You may use and access the Sites without providing us with any Client Information or Personal Information. However, we may invite you to voluntarily submit certain Personal Information, such as your name, physical address, email address, and phone number. Certain forms on the Sites may also ask you to submit optional information about your company that we may link to other Personal Information we collect from you, such as a company name, entity type and size, employer information, and answers to qualitative questions about your employment. We will only use this Personal Information (i) for the purposes explicitly described to you at the time you provided us with the information; (ii) to respond to your inquiries; (iii) to evaluate a prospective lawyer-client relationship with you and what legal services we may be able to provide you; (iv) to send you newsletters, publications, and other communications that may be of interest to you; (v) for internal business analytics, such as understanding the demographics of visitors to our Site; (vi) in order to execute a mandate that you have or shall confer to us; or (vii) to create Aggregate Information (defined below) that, after being aggregated and anonymized, can no longer be used to identify you.
Usage Information. We may also automatically collect certain information regarding your access to and usage of the Sites ("Usage Information"). We collect such information through the device you use to access and use the Sites. We also collect Usage Information by use of cookies and other tracking technology (collectively, "Tracking Technologies"). Usage Information includes, but is not limited to, your device type, operating system, browser type, IP address, MAC address, information the websites or application from which you navigated to our Sites, information you input into our Sites (such as search terms in the search bar), pages you access on our Site, how long you spend on a particular page on our Sites, any links you click on, and similar information. We use Usage Information (i) to improve and customize the Sites for users like you; (ii) to examine the effectiveness and response of visitors to information and content we put on our Site; (iii) for business analytics purposes, such as determining usage patterns on certain pages or features on our Site; (iv) for security and maintenance purposes; (v) from Tracking Technologies as described below; (vi) in order to execute a mandate that you have or shall confer to us; or (vii) to create Aggregate Information (defined below); and (viii) other uses consistent with applicable law.
Tracking Technologies. LJD Law and its third-party vendors (including Google Analytics, which provides additional privacy notices here) may use Tracking Technologies, such as cookies and pixel tags, to collect Usage Information. "Cookies" are small files that are saved onto your device or browser through your web browser that allows us to collect certain Usage Information, and "pixel tags" are tiny graphics with unique identifiers that are embedded on the Sites that allow us to collect certain Usage Information. Tracking Technologies do not, by themselves, collect Personal Information; however, we may use Tracking Technologies to, for example, identify that the device you are using has accessed certain parts of the Sites and may associate that information with Personal Information you have voluntarily provided us. Please note that you have choices with respect to the use of Tracking Technologies and may, in some instances, disable them. Please see "Managing Your Information", below, for more information.
Aggregate Information. We may use the information we collect to create "Aggregate Information", which is aggregated and anonymized information that cannot be used to identify any natural person, in order to develop statistics and analytics about our Sites. Though Aggregate Information may be derived from Client Information, it is not Client Information because it cannot be used to identify you or any natural person.
How We Share Information With Third Parties
LJD Law relies on service providers to perform functions on our behalf and pursuant to our instructions. These may include cloud hosting, email and communications, document sharing, practice management, client intake, workflow management, information technology, cybersecurity, document automation, artificial intelligence, translation, analytics and related operational services.
We disclose or permit access to Client Information only where reasonably necessary for the provider to perform the authorized service or where otherwise permitted or required by law. In selecting and configuring providers, we consider factors appropriate to the nature of the service and information involved. These may include confidentiality obligations, access controls, information security, data retention and deletion, the use of subprocessors, incident response, data location, and whether submitted information may be used to train or improve artificial intelligence models.
In addition, we may share information we collect with other third parties, but only in the following circumstances: (i) to comply with applicable law or legal process, including litigation or governmental requests; (ii) to enforce this Privacy Policy, our Terms of Use, and any other legal or contractual rights; (iii) to secure and protect the Sites, including by detecting technical issues, security threats, or fraud; (iv) as part of an acquisition by a third party of all or substantially all of LJD Law's assets, or as part of a merger or reorganization, where the sharing of information is necessary; and (v) as necessary to protect the rights, property or safety of LJD Law, our clients, visitors to our Sites, or the public.
Information Security and "Do Not Track"
LJD Law uses administrative, technical and organizational safeguards appropriate to the nature and sensitivity of the information in its custody or control. These safeguards may include access controls, authentication requirements, secure cloud services, confidentiality obligations, staff training, vendor assessment and incident-response procedures. No system can be guaranteed to be completely secure. We therefore cannot warrant that our safeguards will prevent every loss, theft, unauthorized access, disclosure, alteration, misuse or destruction of information.
Our Site does not have the capability of responding to "Do Not Track" signals received from web browsers or devices.
Use of Artificial Intelligence and Automated Tools
LJD Law may use artificial intelligence ("AI"), machine learning, document automation and other technology-assisted tools in delivering legal services, administering client matters and operating our business. These tools may assist with reviewing and organizing documents, extracting and summarizing information, identifying relevant facts and issues, conducting legal and factual research, translating content, preparing drafts, managing workflows and performing other supporting functions.
The information processed through these tools may include personal, confidential and privileged information. LJD Law selects and configures its technology providers with regard to the nature and sensitivity of the information, the purpose of the work, confidentiality and security requirements, access controls, data retention and the provider's use of submitted information.
LJD Law does not authorize AI service providers to use Client Information submitted through firm-controlled accounts to train or improve general-purpose or shared artificial intelligence models. We take reasonable steps to limit information processed through AI systems to what is relevant and proportionate for the authorized task.
AI tools do not independently provide legal advice to LJD Law's clients and do not replace the professional judgment of a lawyer. Lawyers and other qualified legal professionals remain responsible for the services provided by the firm. AI-assisted work is subject to appropriate human review. Material facts, legal authorities, quotations, citations, analysis and conclusions are independently reviewed or verified where appropriate before they are relied upon or communicated as legal advice or final work product.
Access to firm-approved AI and technology systems is limited to authorized users and is subject to the firm's policies, procedures and professional obligations. LJD Law reviews its use of AI and related technology as services, professional requirements, legal obligations and industry standards evolve.

Managing Your Information
As mentioned above, you do not need to provide any Client Information or Personal Information to us to use the Sites with the exception of agreeing to our Letter of Engagement. If you have provided us with Client Information or Personal Information, you may contact us at info@ljd-law.ca if you wish, with respect to any Client Information or Personal Information we have about you, (i) to view or obtain a copy of that information; (ii) to correct that information; (iii) to request a deletion of some or all of the information; or (iv) to request a restriction of how we use the information, or to object to certain uses of the information.
If you prefer not to accept cookies or wish to disable or use of Tracking Technologies, most browsers and mobile devices allow you to change your settings so as to notify you when you receive cookies or other Tracking Technologies are being used, and to choose whether or not to accept/allow them. Most browsers also allow you to disable or delete existing cookies or to automatically reject future cookies. Please note that disabling cookies may impair your use of the Sites.
Visitors Outside Canada
LJD Law is a law firm established in Canada. By providing Client Information to us, you acknowledge and agree that your Client Information may be transferred to and stored on servers in Canada and the United States, which may be located outside of the country or other governmental jurisdiction in which you reside.
